What a solid basis for a quotation includes, RM Fintech A/S

What a solid basis for a quotation includes

A fast and accurate quotation requires a solid basis. This includes an electronic drawing or 3D model, material information, the desired quantity and an indication of whether it is a one-off task, a prototype ahead of a series, or a fixed series delivery with ongoing call-offs.

If information is missing, we ask for it rather than basing the quote on an assumption that might later prove wrong. This applies particularly to tolerances, surface requirements and any documentation requirements, where a wrong assumption can significantly affect both price and lead time.

We accept drawings in most common electronic formats and program in Mastercam. All material sent to us in connection with a quotation is treated confidentially, and we are happy to sign a confidentiality agreement before the material is sent, if the customer wishes.

From drawing to process, RM Fintech A/S

From drawing to process

When we receive a drawing, we assess which process gives the best combination of quality and price: turning, Swiss-type turning, milling, or a combination, possibly supplemented by assembly. The assessment is based on the part's geometry, tolerances, material and the volume the customer requires.

Where it makes sense, we point out adjustments to the drawing that could make the part cheaper to produce without changing its function. This might be a tolerance tighter than necessary, or a geometry that requires more setups than needed.

This assessment is carried out before the quotation is issued, so the price reflects the process we actually recommend, rather than a generic estimate detached from our specific machinery and experience with similar parts.

Pricing prototypes and pilot series, RM Fintech A/S

Pricing prototypes and pilot series

Prototypes and pilot series are priced differently from a running series, because setup costs make up a relatively larger share when the number of parts is low. We are transparent that unit price typically drops markedly once a task moves from prototype to an actual series with an automated setup.

For new customers uncertain how a part will behave in production, we often recommend starting with a smaller prototype, where process, tooling and measuring plan are clarified before capital is tied up in a large first series.

The learning from a prototype feeds directly into the quotation for the subsequent series, so any adjustments to process or drawing are already accounted for when the customer requests a quote on the full volume.

Series agreements and ongoing call-offs, RM Fintech A/S

Series agreements and ongoing call-offs

For customers with ongoing consumption, we offer framework agreements with agreed call-offs and buffer stock, so deliveries can be drawn as needed rather than ordered from scratch each time. This gives a more predictable price and a delivery reliability that matches the customer's own production planning.

The scope of a framework agreement, including volume, call-off frequency and any stock held on our side, is agreed concretely based on the customer's consumption pattern. We are happy to adjust the agreement along the way if consumption changes significantly, so both parties avoid either overproduction or shortage.

The price under a framework agreement reflects the total volume over the agreement period, not just the individual call-off, which allows for more efficient planning of material purchasing and machine time than if each delivery were quoted separately.

Lead time and planning, RM Fintech A/S

Lead time and planning

The lead time in a quotation reflects the actual capacity in the relevant department at the time of the enquiry, not a generic standard time. We therefore give a realistic date we can keep, rather than an optimistic date that later has to be renegotiated.

For urgent needs, we are happy to discuss whether a task can be prioritised within the existing production plan without affecting other customers' agreed deliveries. This depends specifically on the capacity of the exact machine type or process the task requires.

Once a quotation is accepted and material procurement is confirmed, we hold the agreed delivery date unless circumstances beyond our control arise, in which case we inform the customer as early as possible.

Changes after a quotation has been issued, RM Fintech A/S

Changes after a quotation has been issued

If a drawing, quantity or lead time changes after a quotation has been issued, we assess the impact on price and lead time concretely and give a clear response before work continues on the changed basis. This applies even to smaller changes that may look insignificant on paper.

We recommend that changes be submitted in writing with a clear description of what has changed relative to the original basis, so there is no doubt about which version of the drawing applies to production.

If a change occurs while production is already under way, we assess whether parts already produced or material already purchased can be used, or must be discarded, and inform the customer of the practical and financial consequences before proceeding.

Confidentiality during the quotation phase, RM Fintech A/S

Confidentiality during the quotation phase

Drawings and specifications sent to us in connection with an enquiry are treated confidentially, regardless of whether the enquiry results in an order. The material is used solely to prepare the quotation and is shared internally only with the employees who need it for the concrete assessment.

We are happy to sign a confidentiality agreement before material is sent, if the customer wants it formalised in writing ahead of the dialogue. This applies both to new customers and to existing customers requesting a quote on a new part outside an existing framework agreement.

Material from an enquiry that does not lead to an order continues to be treated confidentially and is not reused in other contexts. The customer may at any time request that the material be deleted once the enquiry is closed.
